Financial Advisor Follow-Up Email Templates After a First Meeting
A good follow-up email after a first meeting thanks the person, summarises what you agreed in plain terms, makes the next step clear and avoids anything that sounds like a recommendation or a promise. The four templates below cover the messages advisers send most: a thank-you after the meeting, a request for documents, a nudge when there is no reply and a request for a referral. Each has a subject line and placeholders in [square brackets].
Financial services is regulated. Rules on records, disclosures and communications differ between countries and firms, so check the rules that apply to you in your own country and have your compliance team approve templates before you use them. These templates are general and do not constitute advice for any person.
Principles to keep in mind
Keep the email factual. Record what was discussed and what happens next, and leave out opinions on products or outcomes until you have followed your firm's advice process.
Keep it short. A client who has just left a first meeting wants to know three things: what you heard, what you need from them and when you will next be in touch. If you are still planning that meeting, our financial advisor first meeting checklist and agenda covers it.
Keep a record. Many firms file client emails with the meeting notes. Write each message as though a regulator might later read it.
Template 1: thank-you after the meeting
Subject: Thank you for meeting today, [first name]
Hello [first name],
Thank you for taking the time to meet me today. I enjoyed hearing about [one neutral detail, for example "your plans for the next few years"].
As we discussed, the next steps are:
- You will gather the documents listed below.
- I will [prepare the next stage of our process, for example "review the information you provide"].
- We will speak again on [date or timeframe].
Everything in this email is a summary of our conversation and not advice. Any recommendations will follow once I have a full picture of your circumstances.
If you think of anything else you would like to add, reply to this message or call me on [phone number].
Kind regards,
[Your name]
[Firm name and regulatory statement as required]
Template 2: documents request
Subject: The documents I need for our next meeting
Hi [first name],
Thanks again for your time on [day]. To prepare properly for our next conversation, I would find it helpful to see the following:
- Proof of identity, such as [accepted ID types]
- Recent statements for [pensions, savings, investments, as relevant]
- Details of any existing insurance or protection policies
- A list of regular outgoings, if you have one to hand
- [Any other item specific to the client]
If you cannot find something, just let me know and we can work out an alternative. You can send documents by [secure method], and please avoid sending them as ordinary email attachments if you can.
I would be grateful to have these by [date], so that we can use our next meeting well.
Best wishes,
[Your name]
Template 3: no-reply nudge
Send this about a week after your previous message, and make it easy for the person to say no.
Subject: A quick check-in, [first name]
Hello [first name],
I wanted to follow up on my email of [date], as I have not heard back. I realise this may not be the right moment, and that is entirely fine.
If you would still like to continue, a reply saying so is all I need, and I will suggest a time for us to speak. If you would prefer to pause, let me know and I will not contact you again about this unless you get in touch.
Kind regards,
[Your name]
Template 4: referral request
Send this only to clients who have been with you for some time and have had a good experience. Check what your regulator and firm allow, particularly regarding any incentive or reward.
Subject: A small favour, if you are happy to help
Hi [first name],
Thank you for being a client of [firm name] for the past [period]. I enjoy working with you.
If you know a friend, family member or colleague who might benefit from a conversation about their finances, I would be glad to meet them. You are under no obligation, and there is no pressure at all.
If it is easier, you could forward them this email, or give me their name and let me know how they prefer to be contacted, once they have agreed that I can get in touch.
Thank you for considering it.
Warm regards,
[Your name]
Choosing the right message
| Situation | Template | Key point |
|---|---|---|
| Within a day of the first meeting | 1 | Summarise, set next steps, state that it is not advice |
| Same day or the next, when information is needed | 2 | Give a clear list, a secure method and a date |
| About a week after no reply | 3 | Polite, brief, easy to decline |
| Months into a good relationship | 4 | Optional, low pressure, respects rules |
Newsletter and ongoing contact
Many advisers also send a regular newsletter to keep in touch. Keep content educational and general, name your firm and include an unsubscribe link in each issue. Make sure each subscriber has agreed to receive it, and avoid anything that reads as a recommendation to a group of readers.
Collecting enquiries before the first meeting
Follow-up works best when the person has asked to hear from you. Some advisers offer a short planning guide or a pre-meeting checklist, so the first conversation starts with the person already prepared. Gatedleads lets you create a branded page for that guide, live in under 10 minutes, with leads available as a CSV download. Our posts on how financial advisors can find clients without buying lead lists and lead magnets for financial advisors cover this, including ideas for pension advisers.
Frequently asked questions
