Marketing Agency Email Templates: Pitches, Follow-Ups and Proposals
Marketing agency email templates save time when they give you a clear structure and leave room for specifics: who the email is for, what you noticed about their business, what you suggest and what you would like them to do next. Below you will find templates for a first pitch, two follow-ups, a proposal cover note, a proposal chase and a closing message, plus a short checklist to run before you press send.
Copy the wording, replace everything in square brackets and cut anything that does not sound like you. Templates work best as scaffolding. If a prospect can tell that your email went to a hundred people, it will be treated that way.
Before you send: a marketing agency email checklist
Many agency emails fail on small details, so a short check is worth the minute it takes.
| Check | Question to ask | Done |
|---|---|---|
| Recipient | Is this the person who decides or influences? | [ ] |
| Specific observation | Does the email mention something real about their business? | [ ] |
| One ask | Is there a single, easy next step? | [ ] |
| Length | Could you read it in under a minute? | [ ] |
| Tone | Does it sound like a person wrote it? | [ ] |
| Claims | Is every claim something you can support? | [ ] |
| Details | Are the name, company and links correct? | [ ] |
| Rules | Does it meet the sending rules where the recipient is based? | [ ] |
Template 1: the first pitch
Subject line options: "A thought on [Company]'s [channel]" or "Question about [Company]'s enquiries".
Hi [Name],
I was looking at [Company]'s [website, ads or social page] and noticed [specific observation, for example that the enquiry form sits below a long page].
We work with [type of business] on [service], and a small change in that area can make a real difference to the number of enquiries you receive. I have a couple of ideas for [Company] that I would be glad to share.
Would you be open to a [15] minute call on [day] or [day]? If it is not a priority at the moment, no problem at all.
Best wishes,
[Your name]
[Agency]
Template 2: the first follow-up
Send after [four] working days. Subject line: "Re: A thought on [Company]'s [channel]". Keep it shorter than the first email.
Hi [Name],
Following up in case my earlier note got buried. The short version: I think [Company] could improve [outcome] by [one specific idea].
If a quick call is useful, here is my calendar: [link]. If you would rather I send the idea in writing, reply with "send it" and I will.
[Your name]
Template 3: the second follow-up
Send after another [five to seven] working days. Subject line: "One useful thing for [Company]".
Hi [Name],
I will not keep filling your inbox, but I wanted to leave you with something useful. I put together [a short checklist or guide on topic] that [Company] might find helpful: [link].
If the timing is better later in the year, tell me when to get in touch and I will put it in my diary.
[Your name]
Template 4: sending a proposal
Send within the time you promised on the call. Subject line: "Your proposal, [Company]".
Hi [Name],
Thank you again for the conversation on [day]. As promised, the proposal is attached.
In summary: you told me the priority is [goal] by [date]. The plan covers [scope in one sentence], over [timeframe], for [price or range]. Section [number] sets out what happens in the first [30] days.
I suggest we go through it together on a short call. Are you free on [day] or [day]? If anything in the proposal does not match what you had in mind, say so and I will revise it.
[Your name]
Template 5: chasing a proposal
Send [three to five] working days after the proposal. Subject line: "Any questions on the proposal?"
Hi [Name],
Checking whether you have had a chance to look at the proposal. Many people have questions about [common concern, such as contract length or reporting], so I am happy to explain those.
If your priorities have changed, a quick note is enough and I will close this off on my side.
[Your name]
Template 6: the closing message
Send when there has been no reply to several messages. Subject line: "Should I close your file?"
Hi [Name],
I have not heard back, which usually means the timing is wrong or the priority has moved. That is fine.
I will pause my follow-ups here. If [problem] becomes a focus again, reply to this message and we can pick it up. Good luck with [something specific to them].
[Your name]
Template 7: a client check-in
Not every email is a sales email. A regular note to existing clients protects the relationship. Subject line: "Quick check-in on [month]".
Hi [Name],
A quick check-in before the month closes. The main result so far is [result]. One thing I would like your view on: [question].
Your full report will arrive on [date]. Is there anything you would like me to cover in it?
[Your name]
How to adapt these templates
Start with a research habit. Spend [five] minutes per prospect noting one observation that is true and relevant, because that line carries the first email. Keep a swipe document of replies you have received, since the words clients use to describe their problems make better copy than any template. Before a proposal, the notes from a discovery call checklist give you the specifics to reference.
Vary your follow-ups so that each one offers something new, such as an idea, a resource or a question. A series of "just checking in" messages gives the reader nothing new to respond to. Once a prospect signs, our SEO client onboarding checklist and monthly client report template keep the relationship on track.
Giving prospects somewhere useful to go
Your emails will land better if the link inside them leads to something helpful. A branded page offering a short guide, report sample or checklist gives a prospect a way to engage without committing to a call. Gatedleads has email script templates for agencies, and you can have a page live in under 10 minutes on the free plan. The marketing agency template pack is another starting point, and our post on lead magnet ideas for agencies has more offers.
Frequently asked questions
How long should a marketing agency pitch email be?
Keep it short enough to read in under a minute. One observation, one idea and one request is usually enough.
How many follow-ups should I send?
Two or three follow-ups over a few weeks is common practice. Each should add something new, and the last should give the prospect an easy way to say no.
What should a proposal email say?
Summarise the goal, the scope, the timeframe and the price in a few sentences, attach the full document and suggest a call to discuss it.
Do I need to follow any rules when sending cold emails?
Yes. Rules on consent, identification and unsubscribing differ by country, so check the requirements where your recipients are based.
