How to Send New Leads to HubSpot Without a HubSpot Form

There are two ways to get leads from a Gatedleads page into HubSpot. The first is a CSV import, which works on any Gatedleads plan: export your leads, then use HubSpot's import tool to create or update contacts. The second is a Zapier webhook on Gatedleads Pro, which sends each new lead to Zapier as it arrives and creates or updates the matching HubSpot contact within moments. The import is fine for occasional batches, and the webhook is better when sales need to follow up quickly.

Why not just use a HubSpot form?

HubSpot forms are a good choice if your page lives on HubSpot, and HubSpot's free tools include a landing page builder. We compare that route with a dedicated lead magnet page in HubSpot's free landing pages vs a lead magnet page.

This post is for the other case, where your lead magnet page is built in Gatedleads and HubSpot is where your sales and marketing teams work. The aim is to get those leads into HubSpot cleanly, without retyping anything.

What Gatedleads sends

It helps to know what data you have before mapping it to HubSpot.

A CSV export from Gatedleads has these columns: Name, Email, Phone, Company, Source, UTM Source, UTM Medium, UTM Campaign, Page and Captured at. Phone and Company are only filled in if your form asked for them.

The webhook sends a JSON message for each new lead with the email, name, phone, company, source, the page's ID and address, and the time it was created. Our Zapier integration guide shows the exact fields.

One detail matters for HubSpot. Gatedleads stores a single Name field, while HubSpot contacts have separate First name and Last name properties. You can map the whole name to First name, split it before importing, or create a custom property for it. Most teams map it to First name, since that is what email greetings use.

Route 1: CSV import (any plan)

What HubSpot needs

HubSpot's guide to setting up an import file sets out the requirements at the time of writing (October 2026):

  • The file must be a .csv, .xlsx or .xls file with only one sheet.
  • It needs a header row, with each column matching a HubSpot property. Columns can be in any order.
  • Email is required to create contacts, and it is also how HubSpot matches a row to an existing contact so it can update it rather than create a duplicate.
  • First name and Last name are optional.
  • On HubSpot's free tools, files can be up to 20 MB, with up to 50 imports a day. Paid HubSpot plans allow larger files.

A Gatedleads export meets these requirements as it is, since every lead has an email.

Steps

  1. In Gatedleads, open Leads, filter to the page or date range you want and click Export CSV.
  2. In HubSpot, follow the steps in HubSpot's article on importing records: open the import tool, choose to import a file, select Contacts and choose to create and update contacts.
  3. Upload the CSV.
  4. On the mapping screen, check that the Email column maps to the Email property. HubSpot marks it as the unique identifier.
  5. Map Name to First name, Phone to Phone number and Company to Company name.
  6. For Source, the UTM columns and Page, either map them to existing properties or click Create new property to make custom ones, such as "Lead magnet". You can also choose Don't import column for anything you do not need.
  7. Name the import, confirm the consent checkbox HubSpot shows, set marketing contact status if your account uses it, and finish the import.

HubSpot then shows the import's progress and any rows it could not import.

Tips for repeat imports

If you import every week, export only the leads captured since the last import so you are not reprocessing old rows. Because Email is the identifier, importing the same person twice updates their contact rather than duplicating it, but a smaller file is easier to check.

A custom "Lead magnet" property, filled from the Page column, is worth setting up once. It lets you build HubSpot lists and reports by the resource each contact downloaded.

Route 2: Zapier webhook (Pro)

On Gatedleads Pro, each page can send new leads to a webhook URL the moment the form is submitted. Zapier catches that message and passes it to HubSpot.

Steps

  1. In Zapier, create a new Zap with Webhooks by Zapier as the trigger and Catch Hook as the event. Copy the webhook URL Zapier gives you. The "Webhooks by Zapier" Catch Hook trigger needs a paid Zapier plan.
  2. In Gatedleads, open Integrations, find your page and paste the URL as its webhook. Save it.
  3. Submit a test lead on your page with your own email, then go back to Zapier and test the trigger. You should see the lead's fields.
  4. Add a HubSpot action. Zapier's HubSpot integration includes Create or Update Contact, which creates a contact or updates one matched by email. That is usually the right choice, since it avoids duplicates.
  5. Map the fields: email to Email, name to First name, phone and company to their properties, and the page slug or source to your "Lead magnet" property if you made one.
  6. Test the action, check the contact in HubSpot and switch the Zap on.

If a lead does not arrive, the troubleshooting section of our Zapier integration guide covers the common causes. If you would rather skip Zapier and your stack can receive a webhook directly, sending leads to a CRM without Zapier explains that option.

Adding the contact to a list

Zapier also lists HubSpot actions for adding a contact to a list. According to Zapier's HubSpot page, those list actions need Marketing Hub Starter or higher, so on HubSpot's free tools, a common alternative is to set a property in the Zap and build an active list in HubSpot based on that property.

Which route to choose

Choose the CSV import if you get a modest number of leads, follow up in batches or are testing a single lead magnet on the Gatedleads Free plan. It costs nothing extra and keeps you in control of what goes into HubSpot.

Choose the Zapier webhook if sales follow up on leads within the day, or you want HubSpot workflows to start as soon as someone downloads your resource. Speed matters with lead magnets, because a reply that arrives while the download is fresh is easy for the reader to connect to it. What to send a new lead in the first seven days covers that follow-up.

Getting started

Build the page first, collect a few test leads and try the CSV import, which works on every plan. When you are ready for leads to arrive in HubSpot automatically, Pro adds the webhook. Create your lead magnet page free and send your first leads to HubSpot today.

FAQ

Does Gatedleads have a native HubSpot integration?

No. Leads reach HubSpot through a CSV import on any plan, or through a Zapier webhook on Pro, which can create or update HubSpot contacts automatically.

Will importing the same lead twice create a duplicate in HubSpot?

Not if Email is mapped as the identifier. HubSpot uses Email to match rows to existing contacts and updates them instead.

How do I record which lead magnet a contact downloaded?

Create a custom HubSpot property such as "Lead magnet" and fill it from the Page column in a CSV import, or from the page details in the Zapier action.

Can I send leads to HubSpot on the Gatedleads Free plan?

Yes, by exporting a CSV and importing it into HubSpot. The automatic webhook route needs Gatedleads Pro.
