How to Add Lead Magnet Subscribers to Beehiiv Automatically
To add lead magnet subscribers to beehiiv automatically, send each signup from your lead magnet page to a Zapier webhook, then add a beehiiv action in the same Zap that creates the subscriber in your publication. Every person who downloads the lead magnet then joins your newsletter within moments, and beehiiv can send them a welcome email while they still remember signing up.
The alternative is manual imports, and they cost more than they seem to. A newsletter writer who exports leads every Friday adds subscribers up to a week late. Those people see a newsletter arrive from a name they barely recognise, so more of them ignore it, mark it as spam or unsubscribe. That hurts open rates across the whole list.
What you need
- A lead magnet page that can send each new lead to a webhook. On Gatedleads, outbound webhooks are a Pro feature.
- A Zapier account.
- A beehiiv publication. Check that your beehiiv plan includes the Zapier integration before you start, as integrations can vary by plan.
How the route works
- A reader signs up on your lead magnet page.
- The page sends a JSON POST to a Zapier webhook URL.
- Zapier passes the email address to beehiiv and adds the subscriber to your publication.
On a Gatedleads page, the webhook body contains the event name, page ID, page slug, email, name, phone, company, source and a timestamp. If you use double opt-in on the page, the webhook fires once the reader confirms. The request is sent once with a short timeout and is not retried, so a lead sent while Zapier is unavailable will not reach beehiiv automatically, though it stays in your dashboard and CSV export.
The Zapier integration guide has the full details and troubleshooting.
Step 1: prepare beehiiv
- Decide what new subscribers from this lead magnet should receive first. A welcome email or a short automation is ideal.
- If you want to know which lead magnet each subscriber came from, decide how you will record it, such as a custom field or a source value, depending on what your beehiiv plan supports.
Step 2: create the Zap trigger
- Create a new Zap in Zapier.
- Choose Webhooks by Zapier, with the Catch Hook event.
- Copy the webhook URL.
Step 3: add the URL to your page
In Gatedleads, open the page settings for your lead magnet page and paste the URL into the webhook field. Save. Webhooks are set per page, so each lead magnet can have its own Zap, or several pages can share one and be told apart using the slug field.
Step 4: send a test signup
Open the live page in a private window and sign up with an address you control. Confirm it if the page uses double opt-in. In Zapier, test the trigger and check the fields came through.
Step 5: add the beehiiv action
- Add an action and choose beehiiv.
- Connect your beehiiv account and select the publication.
- Choose the action that creates or adds a subscriber. Action names in Zapier can change, so pick the closest match.
- Map the webhook's email field to beehiiv's email field.
- If available, set options such as sending a welcome email, and record the lead magnet slug in a custom field or source value.
- Test the step and check the subscriber appears in beehiiv.
Turn the Zap on.
Avoiding double confirmations
If both your lead magnet page and beehiiv ask readers to confirm their address, some will receive two confirmation emails and some will give up. Choose one place to confirm. Many writers confirm on the lead magnet page, so only confirmed addresses reach beehiiv, and keep beehiiv's settings for these subscribers consistent with that. Check what your beehiiv settings do for subscribers added through integrations.
Worked example: a weekly newsletter on remote work
Take a hypothetical newsletter about remote team management that sends one issue a week. The writer creates a lead magnet: "The remote team meeting kit: 6 meeting formats with agendas, timings and facilitation notes".
The lead magnet page outline:
- Headline: "Run better remote meetings this week: 6 ready-to-use formats."
- A line naming the reader: "For managers of remote and hybrid teams."
- A preview of one format: the 15-minute weekly priorities check-in.
- Email field, with an optional first name.
- The kit delivered on the next screen and by email.
In Zapier: Webhooks by Zapier Catch Hook, then beehiiv create subscriber, with the email mapped and the slug stored as the source.
In beehiiv, new subscribers get a welcome email:
- Subject: "Your remote meeting kit, plus what to expect"
- Body: a link to the kit, a two-line summary of what the newsletter covers and when it arrives, a link to the most popular past issue, and a question: "Which meeting does your team find hardest?"
Replies to that question become ideas for future issues. Because the subscriber joined within moments and got a useful welcome, the first regular issue that arrives a few days later comes from a name they recognise.
Lead magnets for newsletter writers has more ideas for resources that suit a newsletter audience.
Multiple lead magnets
As you add more lead magnets, use the slug field to tell them apart. Either create one Zap per lead magnet, or use a single Zap with a filter or path step for each slug. One Zap per lead magnet is easier to manage when you only have a few.
Backfilling earlier signups
The webhook only covers new leads. For people who signed up before you set up the Zap, export a CSV from your dashboard and import it into beehiiv. Remove duplicates first.
Troubleshooting
- The lead is in the dashboard but not in beehiiv. Check the account is on Pro, the URL is on the right page, the Zap is on, and the Zap history shows no error in the beehiiv step.
- The subscriber is in beehiiv but did not get a welcome email. Check the welcome email settings in beehiiv for subscribers added through integrations.
- Two confirmation emails. Choose one place for confirmation.
- Subscribers added twice. Check for two Zaps using the same webhook, or the same URL pasted on two pages.
Getting started
If your lead magnet page is not live yet, Gatedleads can get it live in under 10 minutes. Add the webhook on Pro and the beehiiv connection takes a few more minutes in Zapier. For more on getting the first weeks right, see what to send a new lead in the first 7 days.
FAQ
Can you connect a lead magnet page to beehiiv?
Yes. A common route is a webhook from the page into Zapier, then a beehiiv action that adds the subscriber to your publication. Check your beehiiv plan includes the integration.
Will beehiiv send a welcome email to subscribers added through Zapier?
That depends on your beehiiv settings and the options in the Zapier action. Test with your own address before promoting the page.
How do you know which lead magnet a beehiiv subscriber came from?
Pass the page slug from the webhook into a custom field or source value in beehiiv, depending on what your plan supports.
What if a signup does not reach beehiiv?
The webhook is sent once and not retried. The lead is still in your dashboard and CSV export, so you can import any missed subscribers manually.
